Essencial Duties and Responsabilities
- Executive Support:
- Provide direct assistance to executives by managing schedules, appointments, and travel arrangements.
- Handle correspondence and communications in both Spanish and English.
- QuickBooks and Accounting:
- Assist with bookkeeping tasks, including managing QuickBooks for expense tracking, invoicing, and financial records.
- Help prepare basic financial reports and ensure accurate documentation of transactions.
- General Marketing:
- Assist with general marketing tasks, such as coordinating campaigns, preparing materials, and managing social media accounts.
- Help maintain the company's online presence by updating websites or marketing collateral.
- Administrative Duties:
- Handle a variety of office-related tasks, including filing, document management, and responding to inquiries.
- Translate documents and communications between Spanish and English as needed.
- Customer and Vendor Relations:
- Liaise with vendors, suppliers, and customers, ensuring clear communication in both languages.
- Assist with customer inquiries, especially for Spanish-speaking clients.
- Logistics Coordination:
- Coordinate and manage the logistics of shipments, ensuring smooth delivery operations for domestic and international orders.
- Communicate with suppliers, vendors, and transport companies to track shipments and resolve any logistical issues.
- Ensure compliance with customs regulations, particularly with shipments to/from Mexico and other international locations.
Knowledge, Skills and Abilities
- Strong organizational and multitasking abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong communication and interpersonal skills.
- Ability to work independently and manage multiple tasks.
- Detail-oriented with a proactive approach to problem-solving.
- Good attitude.
Education & Experience
- Level of education: High school.
- 1-2 years of experience required.
- General Marketing Experience (Preferred not a Requirement).
- Fluent in both Spanish and English (written and verbal).
- Experience with QuickBooks and basic accounting tasks.
- Public Notary License is preferred but not required.
