Position Summary

The Sales Coordinator provides the necessary administrative support to the field sales team and becomes the point of reference on all administrative matters. Attention to detail is absolutely required. The goal is to facilitate the team's sales activities to maximize their performance and minimize their administrative burden as to allow them to focus on their core responsibilities.

Essential Duties and Responsibilities

  • Assist Sales Leader in training new Business Consultant on sales process and systems necessary to complete process
  • Accurately audit sales documentation, communicate to sales team member of its completeness and submit it to the correct department
  • Process all orders with accuracy and timeliness and inform Business Consultant of unforeseen delays or problems from other departments on their request for proposal
  • Ensure adherence to guidelines, processes and policies
  • Monitor the team's progress, identify shortcomings and propose improvements to Sales Leader
  • Assure necessary promotional or marketing material are available
  • Other ad hoc projects and tasks as assigned

Key Performance Expectations

Because much of the Key Performance Expectations are dependent on the activity of others, these factors will be reviewed, and workload will be allocated equitably between entire Sales Administrative Team.

  • Submissions
    • A minimum of 4 submissions per day, or at least 20 per week
    • Accuracy greater than 80>#/li###
    • Accurately tracking of submissions and preparation of recaps
  • Recaps
    • A minimum of 3 recaps per day, or at least 15 per week
    • Consistent follow up with BC to accurately indicate the status of the recap
  • Closed Deal Paperwork (For US Based or Closing Coordinators)
    • Review and recap of Closed Deal Paperwork within 4 business hours of receipt
    • Clear recap and next steps to BC and Sales Leader for every Closed Deal Package review

Knowledge, Skills, and Abilities

  • Excellent computer skills, especially the Microsoft Office Suite & Adobe Editor
  • SharePoint (or similar)
  • DocuSign (or similar)
  • CRM systems, ClientSpace and Salesforce experience is a plus
  • Time Management skills is a must
  • Proficiency with communicating in English
  • Well-organized and responsible with an aptitude in problem-solving
  • Excellent verbal and written communication skills
  • A team player with high level of dedication

Education & Experience

  • Proven experience in sales administration, experience as a sales coordinator or in other administrative positions will be considered a plus.
  • Undergraduate degree in business administration or relevant field is also considered a plus.
