Position Summary
The Labor Relations Specialist is responsible for day-to-day and ongoing Labor Relations activities with an emphasis on contract set-up and maintenance of union rates in the Sports & Entertainment software platform. The Labor Relations Specialist interacts daily with other Company departments, outside offices, and clients.
Essential Duties and Responsibilities
- Ensure software systems are configured and maintained in compliance with union contracts, collective bargaining agreements, and fund requirements.
- Verify and validate client setup for pension, health, and related contribution plans to ensure accuracy and compliance.
- Research and resolve complex contract, billing, and contribution inquiries from clients, unions, and fund offices, identifying root causes and implementing preventive solutions.
- Collaborate with IT and development teams to gather requirements, validate data, and test system enhancements and contract updates.
- Generate, analyze, and distribute reports supporting client, union, fund office, and internal business requirements.
- Maintain contract setup documentation, reference materials, procedural guides, and tracking spreadsheets.
- Coordinate and communicate contractual updates to affected departments to ensure consistent implementation and compliance.
- Serve as a primary liaison between internal departments and external stakeholders regarding contribution rates, contract interpretation, reporting requirements, and operational issues.
- Develop, enhance, and document cross-functional processes to improve operational efficiency, accuracy, and service delivery.
- Analyze contract provisions and create training materials, job aids, and resource documentation for Labor Relations and other business units.
- Support Labor Relations with client communications, project coordination, contract research, and follow-up activities.
- Build and maintain strong relationships with clients, unions, fund offices, and internal stakeholders to deliver exceptional service and support.
- Regular on-site attendance is an essential job function due to the need for secure access to systems, collaboration on sensitive technical matters, participation in operational meetings, and hands-on involvement.
Marginal Functions
- Build, maintain and promote relationships with team members, peers across disciplines, and all other company team members ensuring effective coordination of communications and services affecting clients.
- Attend webinars and training to stay up to date on best practices related to the company and department.
- Complete projects and other duties as assigned by supervisor.
Knowledge, Skills, and Abilities
- Strong knowledge of union contracts, collective bargaining agreements, pension plans, health and welfare plans, and contribution administration.
- Ability to interpret contractual language and apply contract provisions accurately within software systems and operational processes.
- Strong analytical and problem-solving skills with the ability to research complex contract, billing, and contribution issues and develop effective long-term solutions.
- Proficiency in data analysis, report generation, data validation, and reconciliation using spreadsheets, databases, and reporting tools.
- Ability to gather, test, and validate system requirements while partnering effectively with technical teams and programmers.
- Strong attention to detail with a high degree of accuracy when reviewing contract terms, client setups, contribution rates, and system data.
- Excellent organizational and project coordination skills with the ability to manage multiple priorities, deadlines, and stakeholder requests simultaneously.
- Effective verbal and written communication skills with the ability to explain complex contractual, reporting, and operational information to clients and internal teams.
- Strong customer service and relationship management skills with the ability to develop and maintain positive working relationships with clients, fund offices, unions, and internal stakeholders.
- Ability to collaborate across multiple departments and facilitate communication among Operations, Payroll, IT, Implementations, Labor Relations, and other business units.
- Ability to create clear process documentation, procedural guidelines, reference materials, and training resources.
- Strong presentation and training skills with the ability to communicate contract-related information to diverse audiences.
- Ability to identify process improvement opportunities and implement more efficient interdepartmental workflows.
- Sound judgment and decision-making skills when addressing contract interpretation, compliance concerns, and operational issues.
- Ability to work independently while exercising initiative in researching issues, resolving problems, and driving projects to completion.
- Ability to maintain confidentiality and exercise discretion when handling client, contract, and participant information.
Education & Experience
- Bachelor's degree preferred or equivalent combination of experience, skills, and education (including other relevant non-traditional degree programs, certifications, or job training programs).
- Two (2) to Three (3) years of Labor Relations experience in the entertainment industry environment.
- Experience with Entertainment Union & Guild Agreements is required.
- Experience and understanding of payroll processes.
- Understand collective bargaining agreement details and ability to implement them.
- Experience collaborating with clients and departments to identify needs, prioritize requests and build effective relationships using tact and diplomacy.
- Experience working in a multi-state or Professional Employer Organization (PEO) preferred.
- Proficiency with Microsoft Office software (Outlook, Microsoft Teams, Excel, Word, PowerPoint) and demonstrated ability to learn other applications as needed.

Environmental Conditions
